Feedback significantly increases the effectiveness of communication because it allows both parties to overcome obstacles. In the language of communication theory, all situations that distort meaning are called interference. Language (verbal or nonverbal), differences in the way messages are interpreted during encoding and

decoding, and differences in the status of managers and subordinates can be sources of barriers.

Certain barriers are always present and some distortion of meaning occurs at every stage of communication. It usually allows us to overcome obstacles and send a message. But if the barriers are too strong, then this situation inevitably leads to a radical change in meaning and may prevent the exchange of information completely. From a management perspective, this situation reduces the likelihood of achieving these communication goals. Figure 20 clearly shows the communication process as a system that includes feedback loops and barriers.

Effective communication of written information is of great importance to an organization. This also applies to the use of the computer as a means of communication. Managers spend 50-90% of their time on verbal communication, so we chose to focus on direct interpersonal communication.

Our discussion of barriers to effective interpersonal communication is based on the following points: 1) acceptance, 2) semantics (meaning), 3) non-verbal communication, 4) poor feedback communication, 5) ineffective listening.

Barriers conditioned by acceptance. People express themselves not by what is actually happening around them, but by how they perceive it. By analyzing the factors that influence their reception and considering them during your communications, you will overcome many of the obstacles to relevant and effective communications. One such obstacle arises from a misunderstanding between the sender and the receiver. People can interpret the same information in different ways depending on their work experience. For example, in retail, managers and salespeople typically have different approaches to stocking shelves. In a manufacturing organization, marketing professionals consider it more important to increase product variety than to reduce production costs as a result of high standardization, while production workers may have the opposite view. Differences driven by orientation often lead to people's perception of information based on their own interests, preferences, emotional state, and environmental conditions. Such human qualities are very important for communication. It means that in many cases people only receive a

fraction of the information they receive physically. Organizational communication problems are largely determined by the fact that people interpret the information they receive in different ways, so that the sender's coded ideas are distorted and not fully understood by the receiver.

Information that contradicts our experience or preconceived notions is often completely dismissed or distorted by existing knowledge. Studies in this field have confirmed the tendency of people to approach organizational issues based on the fundamental attitudes that are formed in their specific work contexts. Another reason for acceptance problems in the communication process is the presence of relational barriers. If we have a bad experience interacting with any employees or departments, this may affect the effectiveness of our future communications with them.

Semantic barriers. As we mentioned earlier, the purpose of communication is to achieve understanding of messages. When we communicate with other people, we want to communicate information and achieve understanding by using symbols, such as words, hand gestures, and intonations. In communication, we exchange symbols -both verbal and non - verbal. Here we will focus on problems related to the use of verbal symbols, that is, words. Semantics is the study of the ways in which words are used and the meaning conveyed by words. Because words (symbols) can mean different things to different people, what the sender is trying to communicate may not always be interpreted and understood by the receiver as it should be.
