DEVELOPING AN ELECTRON ROLL BOOK FOR A STUDENT GROUP SUPERVISOR

The article presents the need of a student supervisor in automation. The research focuses on Reshetnev Siberian State Aerospace University branch in Zheleznogorsk. The developed system of automating, accounting and processing the information is considered to be implemented in supervisor's day-to-day operation.

Обосновывается необходимость автоматизации работы куратора студенческих групп Же-лезногорского филиала СибГАУ. Предлагается к внедрению в повседневную деятельность куратора разработанная система автоматизации учета и обработки информации.

A supervisor electron roll book is developed for SibSAU branch in Zheleznogorsk. The necessity stems from the fact that there is much tension around the issue of supervisor's work automation. Supervisory control is one of university professor responsibilities which is determined by pedagogical support. The mission of the supervisor primarily involves the proper organization of student academic and non-academic activity. Daily activities take much time and a supervisor has only Microsoft Office software products at their disposal. In this case necessary information is kept discretely and it is rather hard to update it. And there is a big risk of errors and data loss as well. The main supervisor activity consists of student database operation, its updating, forming lists for different uses. A supervisor forms and keeps tabs on sheets. For this purpose he or she has to request student lists in Personnel Department.
According to Federal Law the performance appraisal rating system is conducted in SibSAU. It is one of the forms of academic process promotion, rhythmic education program, mastering control and storage student evaluation system. Rating grade is given:
- on every educational subject by summarizing points for student term work and examination credits;
- on the term results (terminal rating) and is defined by the relation between total points for each educational subject during the term (considering labour-intensive subjects) and amount of subjects during the term;
- on the results of educational program mastering (summary rating) and is defined by the relation between term rating summarizing and amount of terms.

The rating is composed for each student. Supervisors have to do paperwork on every subject and copy grades in MS Word document. Report preparation such as a list of the scholarship students, a list of the students with missed assignments, details of the contract students, tuition fees records, totals sheets and others take a lot of time. This is because of manual data sorting and proper text design.
Official transcript formation is the long-running and labour-intensive process for a supervisor. To do this a supervisor has to copy out all subjects of the particular student group due to the curriculum. Then all official transcripts are taken out of archival depository and all student grades are copied out. All the data is tabulated, grades and grade point average are calculated in MS Excel. This set of information is constantly double checked to avoid error probability. It is obviously that the use of the electron journal makes the operation more rational and less time-consuming. The report documentation requires a common design.
Having carried out the analysis of supervisor's paper work we can come to the following conclusion. The most labour-intensive and significant processes are student personal records, updating their database, lists, ratings and official transcripts formation. The function of the supervisor is also filling and maintaining examination records.
To find out all necessary functional capabilities 5 special-purpose software products were examined. The testing results in preferable necessary conditions with branch. Taking into consideration software availability and supervisor requirements in SibSAU branch the following options are included in the program: keeping and correcting the information about groups, students, their parents; maintaining records filled by professors; automatic students rating formation; filling official transcripts and data uploading in MS Excel; main report documents production (records, ratings, official transcripts).
So far as amount of supervisors in the branch is low client-server architecture is chosen and authorization module is realized. During the conceptual design of the database 22 tables (including 4 reference tables) were built; ER-model was formed and main attributes were determined; logical model was worked out after database normalization. Database physical release will be in form of data base management system MySQL via dbForge Studio for MySQL.
In this supervisor electron roll book business rules are released through SQL-requests. SQL is a datalogical language designed to describe stored data, its extraction and modification. 5 main business rules are defined and realized by means of requests and program procedures.
In progress the primary software design stages are completed based on the analysis of SibSAU branch in Zheleznogorsk supervisor activity. Taking into consideration identified deficiencies in current business processes the workflow system in a form of electron roll book is proposed.
The designed software product allows computerizing student group supervisor work that is to keep the information about professors and students, form records and ratings and generate accounts.
